Monthly SEO Reporting Template

Copy this template each month. At the top, write the month, the date the data runs through, who prepared it, and what it is compared with. Keep raw exports on file, but make the report itself explain what happened and what to do next.

Summary for the owner

Something the owner can read in two minutes.

  • Goal status: on track, at risk, or off track, with one sentence explaining why.
  • What changed: the two or three shifts in visibility, leads, or site health that matter most.
  • Work completed: pages or fixes that went live, with dates and how each was checked.
  • Things that affect the numbers: seasonality, promotions, outages, tracking changes, or demand shifts.
  • Decisions needed: what you need from the owner, and by when.

Scorecard

Compare the same kind of periods and split the numbers so real growth stands out from noise.

  • Search health: important pages indexed, big exclusions, sitemap status, and any manual actions.
  • Search visibility: impressions, clicks, and click-through rate (CTR), split by brand and non-brand searches and by service.
  • Top pages: clicks and leads for your most important pages.
  • Business results: qualified calls, forms, and bookings, with the limits of the tracking stated.
  • Local results where relevant: profile calls, direction requests, and review themes by location.

What happened and why

Link changes in the numbers to real events without claiming more certainty than the data supports.

  • For each big change, note which pages, the dates, the size, and the likely cause.
  • List each completed task with the page it affected, the date, and what you expect it to change.
  • Mark Google updates, redesigns, content launches, outages, and promotions on a timeline.
  • Say "may have" when several things changed at once.

Next month's plan

Turn the report into a short, ordered to-do list.

  • Task: what will change, on which page, who does it, and when.
  • Check: how you will confirm it went live and works.
  • Measure: which number should move, and when it is fair to look.
  • Parked: tasks you chose to delay, and what would make them urgent.

How to use this resource.

01Should average ranking be in the report?

It can add context, but it should not be the headline. Position changes by search, location, device, and time. Clicks and leads by page are more useful.

02Why do Search Console and analytics totals differ?

They count different things with different rules. Fix setup problems, but do not expect them to match exactly.

03How do we report AI search visibility?

Use only what platforms actually report: Search Console's Generative AI performance report (impressions in AI Overviews and AI Mode), Bing Webmaster Tools' AI Performance report (Copilot citations), and GA4's AI Assistant channel for visits. Be wary of invented "AI citation" counts or rankings.
